Give yourself a head start on organizing the charity party.
If your charity needs to raise money, host a party. Charity parties, also known as charity galas or benefits, are an effective way to raise money by selling tickets to community members. Each attendee's ticket provides a meal and an evening of entertainment. Organizing a charity party takes a lot of preparatory work and attention to fine details, but the rewards are greatly beneficial and for a good cause.
Instructions
1. Create a party committee. It is daunting to organize a charity party all on your own. With the help of a committee you can delegate tasks to make the project more manageable.
2. Set a date for the party. Some charity organizations host annual parties at the same time every year. Make sure you are comfortable with the date you select and, where possible, make sure that it does not clash with another significant event. Once you decide on a party date it might be difficult to change it midway.
3. Create a budget that lists all of the expenses. Include the venue rental, food, entertainment, advertising and decorating costs. Keep your budget realistic. If your charity has thrown parties in the past, use last year's costs to estimate a reasonable budget.
4. Find community sponsors. Many organizations, such as banks, hospitals and private corporations, sponsor charity events because they want to give back to the community and gain publicity.
5. Develop charity party goals. If your charity's goal is to raise $15,000 in one evening, figure out what the price of your tickets should cost. Keep in mind that the more expensive your tickets, the more attendees will expect from your event.
6. Choose a venue for the party. Consider the number of people you anticipate attending the event. If your charity has hosted parties in the past, look at the number of tickets that were sold in prior years and plan for approximately the same amount.
7. Select a theme. Charity parties often have themes, such as Casino Night and A Fiesta to Remember. Work the theme into your entertainment and food. For instance, A Fiesta to Remember theme might mean hiring a mariachi band and serving Mexican cuisine.
8. Market your charity party. Print fliers with information about when and where the party is taking place, as well as who to contact for tickets. You can also include ticket prices and list that the evening will include dinner, dancing and entertainment.
9. Work on the details. Select a menu and book your entertainment. If you are going to host a silent auction at your charity party, solicit donations from local artists, restaurants, jewelers or anyone who will graciously donate goods for attendees to bid on.
10. Create event programs for party guests. Programs outline the flow of the evening in order of activities. It is appropriate to thank the sponsors who helped make the charity party possible in the program.
